About the organization:

Founded in 1993, Blossom Trust is a grassroots NGO based in Virudhunagar district, Tamil Nadu, India. With an initial focus on social and economic empowerment for disadvantaged women and a safe and nurturing space for vulnerable children, over time we have committed to creating a strong foundation for sustainable community ownership. We believe that women have the capacities to build resilient communities as pillars of development; therefore, we invest heavily in empowering these women through three main activities. First, by creating community organizations and networks that are primarily led by women. This allows collective action and collaboration to be at the forefront of our interventions, with greater success. Second, through advocacy and awareness raising, we firmly believe that everyone has the right to access information. Knowledge empowerment plays a profound role in community development and empowers women in the community to make informed decisions for themselves and their households. Finally, towards the protection and education of young minds, Blossom also manages Dayspring Children’s Home which houses and educates children struggling with tuberculosis and HIV/AIDS and/or from vulnerable households. About the role:

The Office Coordinator is responsible for providing high-level administrative support to the organization through the Executive Director. This position will actively manage the organizational calendar, manage internal and external communications at the executive level, and coordinate special projects and events. This position is full-time and on-site. Accommodation, 2 meals per day and pocket money of INR 5,000 per month are provided.

  • Highly skilled in prioritizing DE tasks and effectively communicating day-to-day changing priorities.

  • Independent: autonomous and able to do the job; make sure the ED is on the right track.
  • Proactive: you take the initiative to improve processes; you always think ahead.

Job duties:

  • To provide administrative services, including calendar management, booking meetings, event planning, arranging travel and preparing travel itineraries.
  • To manage the ED’s schedule: schedule meetings and ensure that the ED is ready for important meetings.
  • Ensure the smooth running and efficiency of the General Manager’s busy schedule.
  • Arrange travel, prepare expense reports and take care of other administrative tasks.
  • Help administer the organization’s travel policy: track travel approvals and expenditures and help manage the budget.
  • Assist with reports, presentations, meetings and follow-ups with/for major donors and funding agencies.
  • When requested, prioritize emails and respond as required, manage email boxes and communication on behalf of the Executive Director and maintain official correspondence.
  • Provide administrative support in the delivery of assignments and initiatives on behalf of the Executive Director’s office, as required
  • Ensure that all relevant correspondence and documents are produced in a timely and accurate manner.

Skills and qualities required:

  • Be personable with strong interpersonal and oral/written communication skills
  • Maintain a high level of attention to detail and accuracy
  • Ability to manage multiple tasks, reprioritize on a daily basis and meet deadlines
  • Be highly organized with exceptional planning skills
  • Able to work both independently and in a collaborative environment
  • Take initiative to complete homework, solve problems and seek solutions.
